Who we are

Creative Notion is a boutique digital marketing studio based in Tacoma, WA. This policy covers our marketing website (creative-notion-pnw.com) and our client portal (crm.creative-notion-pnw.com).

What we collect

From visitors to our marketing website

• Standard server access logs (IP address, browser, page visited) — kept for 30 days for security and debugging, then deleted.
• Anything you voluntarily submit through the contact form (name, email, message). Used only to reply to you.

We do not use ad networks, third-party trackers, or analytics tools that profile visitors.

From clients in our portal

• Login credentials (email + password hash — never the plain-text password)
• Business details you provide during onboarding (company name, location, brand assets, content preferences)
• Activity inside the portal (which tabs you visit, items you mark complete) — used to improve the product and surface what's relevant to you
• Messages you send your account manager via the portal DM thread

From the third-party integrations you authorize

The portal lets you connect external accounts so we can pull metrics relevant to your engagement. You explicitly authorize each one, and you can revoke any of them at any time. We only request the minimum scopes needed.

We do not:

• Post on your behalf to social media
• Send or read direct messages on your social accounts
• Access user-submitted content (comments, reviews from others) beyond aggregate counts
• Share your data with advertising networks or data brokers
• Sell your data to anyone, ever

How we use it

• To deliver the work you hired us for. Pulling your social follower counts to track growth, etc.
• To populate your client portal. Your engagement summary, reporting dashboard, brand assets library, monthly report.
• To communicate with you. Welcome emails, account updates, notifications.
• To improve our service. Aggregate, de-identified product usage helps us understand which features are useful.

Text messaging (SMS)

If you provide your mobile number and explicitly opt in (via our intake form, a contract, or verbal consent recorded in your client file), Creative Notion may send you recurring text messages related to your account.

What we send

• Account updates and service check-ins from your account manager
• Service anniversary acknowledgments and milestone notes
• Reminders about scheduled calls, deliverables awaiting your review, or open invoices
• Occasional offers related to services you have not yet engaged

Frequency and rates

Message frequency varies but is typically less than 4 messages per month per recipient. Message and data rates may apply per your mobile carrier's plan. Creative Notion does not charge for the messages themselves.

Opting out

You can opt out of any future messages at any time by replying STOP to any text from us. Reply HELP for help, or contact Sales@CreativeNotionPNW.com. Once you reply STOP, we will not send further marketing or notification SMS to that number.

Sharing of mobile information

No mobile information, including your phone number and SMS opt-in data, will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or trade your mobile number. The only third party that handles your mobile number is our SMS delivery provider (Twilio Inc.), which transmits messages on our behalf and is contractually prohibited from using the data for any other purpose. Information sharing to subcontractors strictly to deliver the messages you opted in to receive is permitted; all other categories of information sharing are excluded.

Consent records

For every mobile number on our list, we retain a record of when you opted in, the method by which you opted in (form submission, contract clause, or staff-recorded verbal consent on a sales call), and the exact disclosure language you agreed to. You may request a copy of your consent record at any time by emailing us.

Carriers are not liable for delayed or undelivered messages.

How we store it

All client data is stored on infrastructure hosted in the United States (Railway, Stripe, DocuSign, Google). Persistent storage uses encryption-at-rest. Backups are taken daily and retained for 30 days. Access is restricted to Creative Notion staff with a need to know.

Access tokens for third-party integrations (Facebook, Instagram, Google) are stored encrypted and used only to make the API calls described above. We never expose them to other clients or to any third party.

How long we keep it

• Active client data: for the duration of your engagement with Creative Notion, plus 12 months after termination for audit / reporting purposes.
• Integration access tokens: deleted when you disconnect the integration from your portal, OR within 30 days of your engagement ending.
• Contact-form submissions: 90 days, unless you become a client (then merges into the client record).
• Server access logs: 30 days.

Your rights

You can, at any time:

• See everything we have on you. Email us and we'll send you an export within 14 days.
• Correct anything wrong. Most fields are editable directly in your portal; for the rest, ask your account manager.
• Delete your account. Email Sales@CreativeNotionPNW.com and we will delete your portal account + all associated data within 30 days (we may retain limited records for legal / tax compliance — typically just invoice records).
• Revoke any integration. Open the relevant service (Facebook Settings → Apps and Websites, Google Account → Security → Third-party apps, etc.) and remove "Creative Notion CRM." We'll stop pulling data immediately.
• Opt out of email. Use the unsubscribe link in any marketing email, or email us directly.
• Opt out of SMS. Reply STOP to any text from us, or email us.

Cookies

We use a single first-party cookie (connect.sid) to keep you signed in to the portal. It expires after 7 days of inactivity. We do not use any third-party cookies, tracking pixels, or fingerprinting.

Children

Our services are intended for businesses and their authorized employees. We do not knowingly collect data from anyone under 18.

Changes to this policy

If we change something material, we'll email every active client and update the "Last updated" date at the top of this page. Older versions are available on request.
